Responsible for administration of absence and leave of absence related programs within the system, inclusive of Paid Time Off (PTO), National Holidays, FMLA, LOA, STD, LTD, ADA, etc. This role is the liaison with our 3rd party vendor(s) for leave administration and disability processing. Serves as the primary point of contact for our team members for escalated inquires and requests for policy interpretation, vendor relations, payroll coding, time off inquiries, etc.
Job Duties
Serves as subject matter expert on existing/proposed changes in all regulations; interprets guidelines and makes recommendations for system changes to ensure compliance with regulations for all leave, disability, and state specific programs.
Maintains, drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
Reviews legal compliance documentation including plan documents, state leave and disability programs, required notices, etc.
Researches and stays apprised of current leave and disability trends along with regulatory and legislated requirements, reports benefit data for employee benefit planning and financials for Benefit's strategic planning and evaluation, best practices and benchmark surveys, and recommends programs and changes to the Manager.
Prepares bid specifications, analyze proposals and renewal information, and interprets insurance carrier and vendor contracts.
Assists in implementation, transition and administration of new and current benefit programs and vendors including administrative procedures, legal and compliance documents, form creation.
Manages vendor relationships to include ensuring we're meeting performance guarantees and service level agreements, holding frequent check-in and service meetings.
Mentors and trains team members.
Manages and updates Leave information on intranet site as well as all documents related to leaves of absence and disability.
Assures processes and Standard Operating Procedures (SOP's) are in place to capture and maintain consistent and accurate processes for leave related items.
Manages and provides direction on denied leaves, noncompliant leaves of absence, or employees who conclude leave and do not return to work.
Assists in identifying, evaluating and implementing change for areas of opportunity, inefficiencies or identified pain points as it relates to LOA and disability processes.
Responds to escalated inquiries into the Employee Contact Center, HR Operations, or to leaders that requires additional support/research.
Analyzes data and provide summary of observations related to leave of absence management- making uses, including identifying trends and/or gaps in the data.
Develops, conducts, and participates in a variety of presentations to inform and educate management and employees about leaves of absence, disability, and legislated requirements and programs.
Leads a cross functional workgroup that allows for collaboration between Human Resources, Payroll and Workforce Management to enhance the system programming, employee/manager experience, and ensure employee are paid properly while on a leave of absence, etc.
